What a quote can leave out

A low quote can become expensive if these are missing:

  • Support after launch: who fixes problems, who checks that the AI stays accurate, how quickly, and at what cost.
  • Testing: how the system is checked with your own data and your own staff before launch.
  • Security and data review: large organisations usually need this before anything goes live.
  • Changes along the way: requirements often change once people start using the system, so set aside some budget for this.

When each option can suit you

  • Freelancer: a small project with a clear scope, low risk, and someone on your side who can manage the technical work.
  • Consultancy: a project that touches several systems or teams, handles sensitive data, or needs to keep running for years.
  • Both: some organisations use a consultancy for design and support, and freelancers for specific tasks.

Four questions to ask either option

  1. What exactly does the price include? Ask for testing, deployment and support to be listed separately.

  2. What happens after launch? Ask who you call when something breaks and how quickly they respond.

  3. Who owns the code and the data? Check that you can keep using the system if you change supplier.

  4. What if a key person leaves? Ask how the work is documented and who else understands the system.

Frequently asked questions

Is a consultancy always more expensive?
Not always. The day rate may be higher, but the totals can end up closer once testing, support and rework are priced on both sides.

Can we start with a freelancer and switch later?
Yes, if the code and documentation are handed over properly. Agree on this in the contract at the start.

What is a good first step?
Write down what the system must do and who will support it after launch. Then ask each supplier to price the same list.
